THE CHALLENGE

Connect event discovery with the organiser's complete workflow.

An event portal needs to help attendees find a suitable event while guiding organisers through preparing the entire undertaking. These two flows have different needs, yet must come together in one coherent product.

Organising an event involves more than publishing a description. It also includes forms, applications, safety, consents, documents, tickets, partners and communication. The platform was intended to organise these elements without turning the process into a cumbersome administrative system.

Other important requirements were support for different event categories, a bilingual interface and an architecture that allows further modules to develop without rebuilding the core user journey.

PROJECT GOAL

Create a platform that gives attendees a simple path to an event and guides organisers from the initial idea and administrative requirements through delivery and reporting.

SCOPE AND DECISIONS

What was designed, and why.

The functional scope is presented alongside decisions that affect everyday use and future product development.

  1. 01

A catalogue, search, categories and event pages for attendees.

  2. 02

An organiser journey with a panel, forms and progress tracking.

  3. 03

Modules for administrative requirements, safety, GDPR, consents and documents.

  4. 04

Registration, tickets, partners, communication and preparations for event delivery.

  5. 05

A bilingual frontend, administration panel and containerised deployment.

01

Two journeys, one product

Event discovery and the organiser's work are separated at the UX level, while sharing a data model and brand.

02

Compliance within the process

Administrative requirements are more than a footer link. The platform guides users through requirements, consents and documents in the context of a specific event.

03

Guidance rather than an empty panel

Organisers receive next steps and preparation status, so the system helps them act rather than merely store forms.

04

Modular development

The catalogue, organisation, administrative requirements, tickets and partners can develop independently while maintaining shared contracts.

ARCHITECTURE

Product layers and their responsibilities.

The architecture is described in functional terms to make clear where logic, data, integrations and operations belong.

  1. 01

Attendee frontend → search, categories, events and registration.

  2. 02

Organiser panel → plan, forms, documents, partners and delivery.

  3. 03

API layer → roles, validation, processes and the event model.

  4. 04

Compliance modules → requirements, consents, GDPR and evidence trails.

  5. 05

Operations → containers, reverse proxy, monitoring, backups and release procedures.

OUTCOME

What the project delivered.

Specific product, process and deployment capabilities delivered by the project, without invented metrics.
